BASIC FUNCTION
Assist customers over the phone and in person while performing various other duties, and maintaining open communication with co-workers, supervisors, and management, while providing professional and courteous service.
Job Duties –Document Control Clerk
- Mail courtesy notices and past due notices
- Process all incoming mail loan payments and process incoming documentation as well as scanning daily
- Enter data daily on loans
- Research loan files as needed
- Assist bank examiners by pulling loan files and documents regarding history information and current information
- Tracking in Precision and Director through ticklers
- Assist others when searching for documents in Director
- Assist in the ongoing training and compliance of other employees
- Assist customers/loan officers with interest paid in writing and over the phone
- Distribute mail throughout the department
- Research and clear exceptions in Precision and Director
DAILY BALANCING – Daily (as backup to Escrow/HMDA Coordinator)
Periodically, document control specialists might be responsible for being backup to other co-workers within the department, and may include daily duties listed below:
- Commitment fees
- Dealer’s floor plans
- Pull daily reports from Precision, GL and Journal accounts and balance them
- Make a daily balance packet for reports, screenshots and spreadsheets
- Work with appropriate corresponding vendor regarding participating payments
Required Qualities

Document control specialists often work in a fast-paced and deadline driven environment, so it’s important they can stay focused and carry out their tasks in a timely and accurate manner. They should be detail-oriented, dependable and trustworthy since they come in contact with complex and sensitive documents.
Skills/Qualifications:
- High school diploma or general education diploma (GED).
- Must be 18 years of age or older
- Knowledge of telephone etiquette, with adequate oral and written communication skills
- 3-5 years of related experience preferred

Schedule:
- 8 hour shift
- Day shift
- Monday to Friday. Off Weekends
